Proposing and Organising a Workshop

Submitting a Workshop proposal

Any scholar working or studying at an ECPR Full Member institution can propose to direct a Workshop. Associate members may co-direct with a scholar belonging to a Full Member institution. Scholars who have already been a Workshop Director cannot apply to Direct a Workshop at the two following Joint Sessions.

Owing to the large amount of organisation involved, we recommend two Directors per Workshop (though two is the maximum allowed), who must come from institutions in two different countries.

Workshop proposals should be submitted online; the call is open 2 October – 1 February. The proposal must contain:

•    Directors' details
•    an outline of the academic content
•    typical participant profile
•    types of Papers anticipated.

Proposals can be formally endorsed by one or more Standing Groups. Aspiring Workshop Directors should contact Standing Group Convenors to seek such endorsement, and must confirm the endorsement when submitting the online form.

Selection of Workshops

The Joint Sessions generally contains 20–30 Workshops. We do, however, receive many more proposals than we can accommodate, and therefore have to make a selection, based on two criteria:

•    academic quality
•    good balance between different approaches and sub-disciplines in political science, and balance of topics over time, year on year.

Each proposal is sent for review to two experts in the field, and is evaluated by the ECPR Executive Committee portfolio holders.

Standing Group-endorsed proposals are treated preferentially. Of two equal-quality proposals, priority is given to the one endorsed by a Standing Group.

If a particular Standing Group endorses multiple proposals, only one can be accepted. We also seek to give space to different Standing Groups over time.

Selection of Papers / participants

Aspiring participants should propose Papers through ECPR’s online system no later than 3 December in the year preceding the Joint Sessions.

Workshop Directors must ensure the Workshop is open to all scholars working in the Workshop’s subject field, and should not restrict their choices to personal networks only. Standing Groups that have endorsed a Workshop should invite their members to submit.

In the final selection for each Workshop, there cannot be more than two Papers presented by scholars from the same institution, and no more than two Papers on which one of the authors is from a non-member institution. If a Paper is co-authored, up to two of its authors can participate in the Workshop.
Directors should aim to include participants from a wide geographical spread of institutions, and to achieve a healthy mix of age and gender. The Workshop should allow collaboration between scholars at all stages of their careers, from research students to full professors. If graduate students are accepted, however, they should be well advanced in their research.

Running the Workshop

Joint Sessions Workshops offer ample time to discuss each Paper and to reflect together on the Workshop’s topic. A Workshop should therefore last for the whole eight sessions, unless there are exceptional reasons for finishing early. All participants are expected to be present at every session.

Once their Paper is accepted, participants should ensure it is uploaded to the ECPR online portal or send to the Workshop's Directors by the date requested.

Workshop Directors organise the timing of the presentations and should send a detailed programme of the Workshop’s meetings to all participants well in advance of the event.

Fees

All participants must pay a fee. The only exceptions are participants from the host institution, and Workshop Directors, all of whom are exempt.

For the 2019 Joint Sessions in Mons, the fees are:

ECPR Members €175
ECPR Student Members €88*
Non-ECPR Members €750
Non-ECPR Students €495*

*Students must send a valid copy of their student ID, a letter from their supervisor confirming they are a student at the time of the event, or a copy of their enrolment confirmation, to the Events Team by midnight UK time on 31 January 2019.

Invoices will be generated in advance of the Joint Sessions upon online registration.

Funding

We offer Joint Sessions Young Scholar’s Grants and Joint Sessions Graduates Grants to scholars from ECPR Full-Member institutions who fit the criteria – see our Funding page.

If two authors of the same Paper take part in a Workshop, only one of them can receive funding.

Funding will be sent after the event. If you want an advance, you must request it from your home institution.

FAQs

Who can propose a Paper?

Anyone conducting research in the field covered by the Workshop. Only 10% of the total number of participants in a Workshop can be from a non-ECPR member institution so Workshop Directors will select on this basis. Anyone proposing a Paper must have a MyECPR account.

How do I submit a Paper proposal?

Submit your abstract via MyECPR between 1 August and 3 December 2018. Please ensure your personal and institutional details are correct in MyECPR.

When is the deadline for Paper proposals?

3 December 2018. Workshop Directors can access all submitted proposals and you will be notified of the Directors' decision by mid-January. Papers sent directly to Workshop Directors will not be considered.
