Organising a Workshop

Submitting a Workshop proposal

Any scholar belonging to an ECPR full-Member institution can propose to direct a Workshop. Associate Members may propose to co-direct a Workshop with a scholar belonging to a full-Member institution. Scholars who have previously been a Workshop Director cannot apply for a Workshop at the following two Joint Sessions.

A Workshop can have a maximum of two Directors. Owing to the large amount of organisation involved, we recommend two Directors, who must come from institutions in different countries.

Workshop proposals should be submitted online. The call is usually open from early October until February 1. The proposal must contain the details about the Workshop Directors, an outline of the Workshop’s academic content, a description of the expected profile of participants, and the type of Papers that will be included.

Proposals can be formally endorsed by one or more Standing Groups. Aspiring Workshop Directors should contact the relevant Standing Group convenor/s to seek such endorsement, and they must confirm the endorsement when submitting the online form.

Selection of participants

Papers should be proposed through the online system no later than 1 December in the preceding year.

It is the Workshop Directors' responsibility to decide on the Workshop topics, and on the selection of participants. Directors must make sure that access to the Workshop is open to all scholars working on the Workshop’s topic, and they should not select participants from their personal networks only. Standing Groups that have endorsed a Workshop should invite their members to participate.

In the final selection for each Workshop, there should not be more than two Papers by participants from the same institution. There should also be no more than two Papers of which one of the authors is from a non-member institution. Overall, the Directors should aim for a wide geographical spread and a good mix of age and gender. They should also encourage the participation and collaboration of political scientists of all levels, from research students to full professors. If graduate students are accepted, they should, however, be well advanced in their research.

Organisation of the Workshop

Joint Sessions Workshops offer ample time for discussion and reflection. A Workshop should, therefore, last for the whole eight sessions, unless there are exceptional reasons for finishing early. All participants are expected to be present for every session. Participants should share their Papers with fellow participants in good time for them to read it before the event.

Workshop Directors are responsible for the academic content of the Workshop and for its practical organisation. They organise the timing of the presentations and send a detailed programme of the Workshop’s meetings to all participants well in advance.  

If a Paper is co-authored, up to two authors can participate in the Workshop.

Finance

All Workshop participants must pay a fee. For 2019 these are:

ECPR Members €175
ECPR Student Members €88
Non-ECPR Members €750
Non-ECPR Students €495

For Toulouse 2020, however, the fees are still to be confirmed.

Participants from the host institution, and Workshop Directors, are exempt from paying the fee. Invoices will be generated in advance of the Joint Sessions, upon online registration.

The ECPR offers a Joint Sessions Young Scholar’s Grant to those from ECPR Full-Member institutions who fit the criteria.

The ECPR also offers a Joint Sessions Graduate Grant to graduate students from ECPR Full-Member institutions who fit the criteria.

If two authors of the same Paper participate in a Workshop, only one of them can receive funding from ECPR. Funding contributions from the ECPR will be sent to the participant after the event. Participants who want an advance should request it from their home institution.
