Proposing and Organising a Workshop

Submitting a Workshop proposal

To be a Workshop Director, you and, if relevant, your Co-Director need a MyECPR profile. If you don’t already have one, it takes just a few clicks to create.  Due to the amount of work involved in organising a Workshop we recommend Workshops have two Directors (though two is the maximum allowed), both of whom must be from an ECPR member institution, although a Co-Director may be from an Associate member institution.  These must be two different institutions.  Scholars who have been a Workshop Director cannot apply to direct a Workshop at the following two Joint Sessions. 

When proposals open at the beginning of October, a link will appear in the menu on the right hand side for you to propose a Workshop. You must submit your proposal before the deadline of 1 February.

To propose a Workshop, we need to know:

  • The title of your Workshop
  • Two keywords, selected from a predetermined list, indicating the Workshop's subject, theme and scope. We use these keywords to categorise Workshops, enabling users to search the online programme
  • Whether the Workshop is endorsed by an ECPR Standing Group, and if so, which Standing Group endorses it.  Aspiring Workshop Directors should contact the Steering Committee Chairs to seek such endorsement, and must confrm the endorsement when submitting the online form
  • An outline of your Workshop (in no more than 2,500 words, explaining why there is a need for a Workshop on the subject and how it relates to existing reseach/publications in the area)
  • The profile of the participants and type of Papers (in no more than 300 words, explain which contributions you expect in the Workshop (please do not include lists of names or contact details))

Selection of Workshops

The Joint Sessions generally contains 20-30 Workshops.  We do however, receive many more proposals than we can accomodation, and therefore have to make a selection, based on two criteria:

  • academic quality
  • good balance between different approaches and sub disciplines in political science, and balance of topics over time, year on year.

After the submission period has closed, the Workshop proposals are reviewed by at least two experts in the field, and are evaluated by the ECPR Executive Committee portfolio holders. 

Standing Group-endorsed proposals are treated preferentially.  Of two-equal quality proposals, priority is given to one endorsed by a Standing Group.  If a particular Standing Group endorses multiple proposals, only one can be accpeted.  We also seek to give space to different Standing Groups over time.

After the evaluation process has been completed, the portfolio holders do a final review of the results of the evaluations and the proposals are then Approved or Declined accordingly.  All proposers are then sent an email to let them know the outcome of their proposal.

As soon as Paper proposals open in August, you will be able to view submissions to your Workshop. After the proposal deadline you must go through all Papers, the lead Director must then approve/decline/reserve them via your MyECPR profile.  Further instructions on how to do this will be sent to you in due course.

Selection of participants for Workshops

Applications to participate in Workshops should be made by proposing a Paper in a Workshop through the online system between 1 August when Paper proposals open and 3 December in the year preceding the Joint Sessions.

It is the responsibility of the Workshop Directors to decide on the topics covered in their Workshops and on the selection of participants. Directors must make sure that access to the Workshop is open to all scholars working on the Workshop’s topic and should not select participants among their personal networks only. Standing Groups that have endorsed one of the Workshops should send an invitation to their members to participate.

In the final selection of participants for each Workshop there ideally should not be more than two Papers presented by participants from the same institution. There should ideally be no more than two Papers of which one of the authors is from a non-member institution. If there are more this should be approved by the ECPR.  Overall the selection of Papers should aim for a wide geographical spread and a good mix of age and gender. It should also allow the participation and collaboration of political scientists of all levels, from research students to full professors. If graduate students are accepted, they should however be well advanced in their research.

Organisation of the Workshop

The major advantage of a Workshop at the Joint Sessions is the ample time available for discussing each Paper and for reflecting together on the Workshop’s topic. A Workshop should therefore last for the whole eight sessions, unless there are exceptional reasons for finishing early. All participants are also expected to be present during all the Workshop’s sessions. Participants should distribute their Paper among the participants of the Workshop.

Workshop Directors are responsible for the academic content of the Workshop and for the practical organisation. They organise the timing of the presentations and send a detailed programme of the Workshop’s meetings to all participants well in advance.  

If a Paper is co-authored, up to two authors can participate in the Workshop (should more wish to participate then this needs to be agreed with the ECPR).

As a Paper presenter

When Paper proposals open on 1 August a link will appear in the menu on the right hand side for you to propose a Paper.  Anyone who is conducting research in the field covered by the Workshop for which they are proposing a Paper can apply.  You must submit your proposal to a Workshop before the deadline of 3 December.  If your Paper has more than one author, the person making the proposal will be listed as the Paper presenter.

To propose an Paper, we need to know:

  • The Workshop title you wish to propose to, as listed in the Academic Programme
  • The Paper title (no more than 20 words)
  • The abstract (no more than 500 words)
  • 3–8 keywords, selected from a predetermined list, indicating the Paper’s subject, theme and scope. We use these keywords to categorise Papers, enabling users to search the online programme.
  • The co-author’s email address as registered in MyECPR (if applicable)

After the deadline, Workshop Directors approve/decline/reserve all Papers proposed.  Once this has been done, we will email all proposers to let them know the outcome.  This will be done by mid January.

Once you know the outcome, you can decide whether you want to attend the Conference. If you do, you need to register and pay online before registration closes on 31 January. A registration tab will appear within your MyECPR account, My Event, Joint Sessions Mons (2019) when registration is available.

If your Paper is accepted and you cannot attend, please email the Events Team immediately so we can mark the Paper as Withdrawn. If one of your co-authors can attend and present in your place, email the Events Team to let us know as they can then be listed as Presenter.

Please upload your full Paper to the ECPR website via your MyECPR profile or email it to the Workshop Directors before 2 April to give your fellow Workshop participants time to read it. And that’s it – we look forward to welcoming you to the Joint Sessions of Workshops!


Registration fees

The fees for the 2019 Joint Sessions of Workshops in Mons are as follows:

Students from ECPR member institutions €88*
Students from non-member institutions €495*
Other participants from ECPR member institutions €175
Other participants from non-member institutions €750

*Students must send a valid copy of their student ID to the Events Team by midnight UK time on 31 January 2019

Workshop Directors and those from the host institution are exempt from paying the registrations fee, however, must still register.

Invoices will be generated in advance of the Joint Sessions upon registration.

What does my registration fee cover?

Your registration fee covers a whole host of items, just a few of which are:

  • Unlimited access to the Workshop your Paper is accepted in
  • Unlimited access to all plenary activities
  • Access to the Welcome Address, presentation of awards and Plenary Lecture
  • Entry to the Opening Reception, including light food and drinks
  • Pre-bookable slots to meet with editors of ECPR co-published journals and book series
  • Conference bag, name badge and lanyard
  • Printed programme
  • Certificate of Attendance, emailed to you after the event upon request, provided you sign in and collect your badge on arrival

Funding

We offer Joint Sessions Young Scholar’s Grants and Joint Sessions Graduates Grants to scholars from ECPR Full-Member institutions who fit the criteria – see our Funding page.

If two authors of the same Paper take part in a Workshop, only one of them can receive funding.

Funding will be sent after the event. If you want an advance, you must request it from your home institution.

FAQs

Who can propose a Paper?

Anyone who is conducting research in the field covered by the Workshop. Only 10% of the total number of participants in a Workshop can be from a non-ECPR member institution so Workshop Directors will select on this basis. Anyone proposing a Paper must have a MyECPR account.

How do I submit a Paper proposal?

Submit your abstract via MyECPR between 1 August and 3 December 2018. Please ensure your personal and institutional details are correct in MyECPR.

When is the deadline for Paper proposals?

3 December 2018. Workshop Directors can access all submitted proposals and you will be notified of the Directors' decision by mid-January.  Papers sent directly to Workshop Directors will not be considered.
