We've created this handy guide to help you at every step of your Conference experience – from uploading your Paper to making the most of your participation.
Our friendly Events Team are on hand to assist throughout the event via Virtual Help Desk on the event app.
Important: Please ensure you are logged into the event app with the same email address as the one you have registered for the event with.

Registration and breaks take place on the Ground Floor of the UFO Building.
Panels are held across three buildings – Technicum 1, Technicum 2 and the UFO building. Venue-specific information, campus map and local travel information can be found here.
You can view room allocations for all the Panels and activities in the programme or your itinerary on our event app.

When arranging travel and accommodation, please ensure that your booking is refundable.

We think that everyone deserves a positive event experience. Please take a few moments to read our Code of Conduct which outlines our expectations regarding the conduct of participants at all our events.
Please upload your Paper (in PDF format and in English) well ahead of your presentation so that your fellow Panel attendees have time to prepare comments and questions.
You can also use this facility to replace your Paper or remove it after the event. Contact us if you have questions about uploading your Paper.
If you prefer to share your Paper with fellow panellists directly, please email it to your Panel Chair.
Add your itinerary directly to your calendar by clicking the export button at the top of the itinerary page.
If you are presenting a Paper, please bring your presentation on a USB stick to upload to the PC provided. We will be unable to accept your presentations via participants' own laptops.
Room allocations are indicated in the Building field on the programme on the event app. These can also be found once the Panel has been added to your Itinerary.
Please collect your badge at the Registration and Information Desk (Ground Floor Foyer, UFO Building) from 08:00am on Monday 8 July.
To ensure you have a smooth presentation, the local organisers have put together instructions for connecting to the IT equipment in the Panel rooms:

To connect to the internet, plug the internet cable from the desk into your laptop. You can also connect to the Eduroam/UGent Guest network.

All coffee and lunch breaks will be organized in the Foyer of the UFO-building. We are pleased to offer a lunch with sandwiches and wraps on Tuesday, July 9th and Wednesday, July 10th. These two lunches are included in the conference fee, and we will have a wide variety of vegan and vegetarian alternatives available.
Take the unique opportunity to broaden your network – head to Discover on the event app and search for colleagues throughout our community.
We are excited to welcome you to the dancing party on Tuesday, July 9th. Join us from 8 PM onwards at Café Charlatan, one of the most iconic bars in Ghent (address: Vlasmarkt 6, 9000 Ghent). We will offer a number of free drinks and free food (in the form of appetizers equivalent to a full meal; vegetarian and vegan alternatives available) for everyone to enjoy. Don't forget to bring your conference badge as this will be your entrance ticket for the party. The dancing party ends at 2.30 AM.
